How the Home Care Service works

Complete guide to Politeia Soft’s SAD operations: from citizen onboarding to reporting, including rotas, clock-in, incidents and digital signature.

The SAD operational cycle

Citizen onboarding and assessment

Social services register beneficiary citizens in the system, recording personal data, dependency level, geographic area and specific needs. An initial assessment determines the type and frequency of services each citizen will receive.

Care worker onboarding

Care workers are registered with personal data, specialty, work area and availability. Employment contracts are managed, including contract type and weekly working hours.

Assignment and rotas

Coordinators assign care workers to each citizen. The rota simulator automatically generates weekly schedules based on worker availability, geographic areas and each citizen’s needs. Rotas can be saved as drafts, edited and published when ready.

Clock-in and time tracking

Care workers record arrival and departure for each service via the clock-in system. Coordinators supervise and approve records. The system tracks hours worked, generates reports and detects discrepancies.

Incident management

Both care workers and citizens can report incidents through the system: absences, schedule changes, unexpected needs. Incidents are classified by type and priority and automatically assigned to the responsible coordinator for resolution.

Documentation and signature

The system automatically generates required documentation: service decisions, follow-up reports, certificates. Documents can be digitally signed via AutoFirma integration. All documentation is archived and linked to the citizen’s file.

Monitoring and reporting

The dashboard provides a real-time view of service status: citizens served, hours delivered, active incidents, absenteeism. Periodic reports are generated for service management and justification to the administration.

Day-to-day features

Schedule lookup

Each care worker can check their weekly schedule from any device, including the citizen’s address, assigned tasks and expected duration of each service.

Real-time notifications

The system sends automatic notifications on any change: rota modification, newly assigned incident, colleague absence or leave request pending approval.

Internal communication

Built-in messaging between coordinators and care workers to resolve questions without external channels. All communication is logged for full traceability.

PPE and equipment

Inventory control for personal protective equipment. Assignment to workers, delivery and return records, and low-stock alerts for replenishment.

Individual Care Plan

Each citizen has an ICP with the specific tasks they need. Care workers check the ICP before each service to know exactly what to do.

Full traceability

Every action in the system is logged: who changed a rota, who approved a clock-in, who resolved an incident. Complete history for audits and justification.
